Mobile Outlets: Running a Cart Business Without Losing Control

Short answer

For a cart business, all you need is one Android phone and whatever connection you can get. Transactions keep working when the signal drops and sync themselves once it returns.

The decision that matters is not about the app. It is this: whether each cart is registered as its own store. That answer determines whether you can see sales and stock per cart — and which plan you need.


Why carts need a different approach

The cart model is growing fast in Indonesia, especially in coffee. The logic is sound: far less capital than renting a shopfront, and if a spot goes quiet the cart can move.

But that flexibility comes with four constraints a permanent shop never faces.

Limited power. There is no fixed socket. Whatever you use has to run on battery through the whole trading day.

Patchy signal. Mall basements, car parks, roadsides at rush hour — the signal can vanish exactly when the queue is longest.

Almost entirely cash. Money moves fast, in small amounts, with constant change-giving. Cash differences are far easier to create than in a shop.

The owner is not there. This is the decisive one. With more than one cart you cannot stand at all of them. You only know what gets recorded.


One cart: what you actually need

Less than people usually assume.

An ordinary Android phone. No tablet, no dedicated till. The phone already in daily use is enough, and is actually better here — the battery lasts and it fits the cramped space on a cart.

A power bank. The only piece of hardware you genuinely have to add.

A Bluetooth receipt printer — optional. Plenty of carts run without printing receipts at all. If a customer wants proof, a QRIS payment already leaves a record in their own app.

QRIS. This is what changes things. With no card terminal and no rental fee, customers can pay without cash — and every QRIS payment is one transaction where the change cannot be miscounted.

When the signal drops

This is the worry cart owners raise most often, and reasonably so.

The cashier app keeps working without internet. Transactions are stored on the phone and sent to the server automatically once the connection returns. The person serving does not have to do anything.

Sync status is visible on screen. When there is trouble, a message says the system is retrying. If any change still fails to send, it is listed under Pengaturan → Perubahan Gagal Sinkron (Settings → Failed Syncs) with a retry button.

One thing that matters: do not delete or reinstall the app while changes are still unsynced. Get back online first and make sure that list is empty.


Several carts: one store, or many?

This is the decision most often made carelessly and regretted six months later.

In the system, a store is the unit that separates stock and reports. You can run several carts under one store, or register each cart as its own. Both are valid, and the consequences differ.

An honest note: the open-shift screen does ask for a REGISTER / TERMINAL name, and many people assume that is enough to separate carts. The name is stored, but reports do not break the data down by register. The Shift and Cashier Performance reports separate by cashier name and store name.

So if each cart has a regular operator, you can still compare results by cashier name. But if operators rotate, the only reliable way to separate sales per cart is to make each one its own store.


What it costs as the fleet grows

This is where the billing model matters most, and it is easily missed when comparing.

Some providers charge per outlet. For three carts, a service priced at Rp 299,000 per outlet comes to Rp 897,000 a month. The figures and each provider's official sources are in the POS pricing comparison.

For a cart business with thin margins and a location count that can grow quickly, that gap is not a detail.


Restocking from a central kitchen

Most cart businesses that grow settle into the same pattern: one central kitchen or store prepares the ingredients, then sends them out to each point every morning.

Once each cart is its own store, that pattern can be recorded properly:

  1. Ingredients arrive at the central store via Pembelian → Purchase Order, with delivery logged under Penerimaan Barang (goods receiving).
  2. Each morning's dispatch is recorded through Inventori → Transfer Stok (stock transfer). Stock drops centrally and rises at the cart.
  3. What is left at each point shows under Inventori → Stok per Outlet.
  4. The movement can be traced later in the Transfer Antar Outlet report.

Without this, "how much did I send yesterday and how much sold" can only be answered from memory — and memory always loses to a busy cart.

Note: what raises stock is goods receiving, not the purchase order. A PO is only the order document sent to your supplier.


Keeping the cash straight

Cart businesses are almost entirely cash, and the person serving works alone without supervision. That combination makes cash discipline more important, not less.

Three habits solve most of it:

  1. Open the shift by counting real money. Enter the cash in the float. If the opening number is a guess, the closing number is a guess too.
  2. Record every expense as it happens on the Kas Laci (cash drawer) screen — ice, gas, pitch fees, delivery costs. A photo of the receipt can be attached.
  3. Close the shift by counting physically. The Z-Report shows what should be there, you enter what actually is, and the difference is calculated for you.

For a cart, that third step doubles as the handover. The operator closes their shift, and that closing figure is what reaches you — not a story.

When the owner is not there

For a cart business this is the decisive part.

Limit what the operator can see. Under Pengaturan → Role & Permission, permissions are set per feature. A cart operator needs the cashier and shift screens, not the financial reports or ingredient purchase prices. A person only sees the menus they have read permission for.

Limit which stores they can reach. When inviting someone under Pengaturan → Manajemen Tim (Team Management), you choose which store they may access. The operator of cart A does not need to see cart B.

Watch three reports, not all of them. There is no need to open everything daily:

  • Daily Sales — the direction of revenue per point
  • Cashier Shifts — the cash difference per shift
  • Best Sellers — what to send more of tomorrow

The dashboard also carries an AI summary card that narrates sales trends and stock worth attention in plain sentences, so you are not reading long reports every morning.


Checklist for opening a new cart

If the next cart will be registered as its own store:

  1. Add the store under Pengaturan → Bisnis & Toko, named for the cart, for example Gerobak Blok M.
  2. Check your plan still has room. Free covers 1 store, Pro 3, Business unlimited.
  3. Invite the operator under Team Management, pick a suitable role, and restrict their access to that store.
  4. Send opening stock through Inventori → Transfer Stok from the central store.
  5. Install the app on the operator's phone, sign in, and select that store.
  6. Open the shift with a float that was actually counted.

Six steps, and the one most often skipped is number six.

Yes, if each cart is registered as its own store. If all carts sit under one store their sales are pooled, and separating them is only possible by cashier name — and only if operators are consistent.

What if a cart moves location often?

A store is not technically tied to a physical address, so a cart that moves keeps the same store and its sales history stays continuous. Name the store after the cart rather than the location — Gerobak 1 rather than Gerobak Blok M — if the spot changes often.

How do I bill customers who order in bulk?

For office orders or events paid later, use Penjualan → Invoice & Piutang (Sales → Invoices & Receivables). Status is tracked from Draft through to Paid, including partially paid.
